1. Acceptance of Terms

By accessing or using the website operated by Tricia E-Billing Solutions, LLC (“we,” “us,” or “our”), located at https://www.tebillingsolutions.com (the “Site”), or by using our billing and revenue cycle management services (the “Services”), you agree to comply with and be bound by these Terms & Conditions (“Terms”). If you do not agree with these Terms, you must discontinue use of the Site and Services.

2. About Us

Tricia E-Billing Solutions, LLC provides medical billing, revenue cycle management, and administrative support services primarily to healthcare providers, including optometry, ophthalmology and eye-care practices.
We are a Business Associate under HIPAA and maintain Business Associate Agreements (BAAs) with our provider clients.

3. Eligibility

You may use the Site only if you:

  • Are at least 18 years of age

  • Have the authority to bind your organization (if applicable)

  • Agree to comply with these Terms

4. Use of the Site

You agree not to:

  • Misuse, disrupt, or interfere with the Site

  • Attempt unauthorized access to systems or data

  • Introduce harmful code or malware

  • Use the Site to solicit or spam other users

We may restrict access for violations of these Terms.

5. Use of Our Services

Use of our Services is governed by:

  • A signed Service Agreement

  • A signed Business Associate Agreement (BAA)

  • These Terms

  • Our Privacy Policy

If any conflict exists between these Terms and a signed agreement, the signed agreement governs.

6. Contractors & Subcontractors

TE-Billing Solutions may engage independent contractors or subcontractors to assist in providing billing and administrative services. Contractors must comply with applicable confidentiality requirements, HIPAA regulations, and any additional terms outlined in their Independent Contractor Agreement.

Information voluntarily submitted by prospective contractors — including name, contact information, experience, and services offered — may be used to evaluate suitability for contract opportunities.

7. HIPAA Compliance

We comply with HIPAA, HITECH, and applicable regulations as a Business Associate.
PHI is used only as permitted and is safeguarded with administrative, technical, and physical controls.

8. Fees & Payments

Fees are outlined in each client’s signed Service Agreement. Unless otherwise stated:

  • Invoices are due upon receipt

  • Late fees may apply

  • We may suspend Services for non-payment

We do not store full credit card numbers on our servers.

9. No Medical or Legal Advice

We do not provide medical or legal advice.
All clinical decisions remain solely with licensed healthcare providers.

10. Intellectual Property

The Site and all content are owned by Tricia E-Billing Solutions, LLC.

Users may not copy, distribute, modify, or reverse engineer any part of the Site without written permission.

11. Third-Party Services

We may use third-party vendors for IT hosting, secure email, analytics, or practice management systems.
We are not responsible for third-party content or privacy practices.

12. Disclaimers

The Site is provided “as-is” without warranties of any kind.
We do not guarantee:

  • Uninterrupted service

  • Error-free operation

  • 100% secure transmissions

13. Limitation of Liability

To the fullest extent permitted by law:

  • We are not liable for indirect, incidental, or consequential damages

  • Total liability is limited to fees paid in the preceding 12 months

  • These limitations do not apply where prohibited by law

14. Indemnification

You agree to indemnify and hold harmless Tricia E-Billing Solutions, LLC from any claim arising out of:

  • Your violation of these Terms

  • Your breach of law

15. Termination

We may suspend or terminate access for misconduct or non-payment.
Confidentiality and HIPAA obligations continue after termination.

16. Governing Law

These Terms are governed by the laws of the State of Michigan, with venue in Kent County, Michigan unless prohibited by law.

17. Changes to These Terms

We may update these Terms at any time. Updates are effective upon posting.
